Early Onboarding. When newly hired people need a GT account and IT resources, before they are fully in Peoplesoft as employees.

Early Onboarding of Employees. 

Normally, new employees when they go into Peoplesoft OHR, flow into Mage (Management of Accounts at Ga Tech) that night and

MAGE creates them a GT account (like jsmith34). However, sometimes people need a GT account for authentication, and access to 

IT resources before all of their data has been entered into Peoplesoft. And, perhaps a guest account is not sufficient. 

There is a process to enter them in a way, that their PS employee data will catch up with them later once it has been entered. 
This is the early onboarding process.

Step 1. GTID request. (Responsibility of dept HR rep.)  *

Step 2. GT account + Services. Use Wand (resp of local Mage admin or TSC) 
     If early: department using Wand **
     If on start date: OHR can do this.

* Dept representative sends a GTID request to the buzzcard center and get a GTID. There is a web site for this. 
https://gtwebapps.gatech.edu/cfeis/buzzid  Data will propagate automatically within an hour to Mage. 

** the dept Wand/Mage admin can go into wand, search by that gtid, and find the record, and create a temporary 
employee acct. Some services can then be granted in Wand.  When the rest of the hiring paperwork gets input into 
Peoplesoft, the person records flow into Mage automatically and link up to the account by GTID automatically. Name, 
title, etc will be updated in Mage from Peoplesoft data.

Normally, new employees when they go into Peoplesoft, flow into Mage that night and mage creates them a GT account 
(like jsmith34). They do not get email automatically, as a student would get. Instead each dept CSR has to know if 
their dept uses central zimbra email and grant that in Wand/Mage if needed. Likewise with their email alias.

Once they have an acct, they can manage it via Passport.

There is also an 'early onboarding' process, that works. (latest update Jan 15, 2016) 
Here is some info on that:

Early Onboarding of Employees. 

1) Dept business representative sends a GTID request to the buzzcard center and get a GTID. There is a web site 
for this. https://gtwebapps.gatech.edu/cfeis/buzzid/
This is typically a hiring manager.

2) data will propagate automatically within an hour from the GTID system into Mage. Mage is the system that can 
generate GT accounts for logins. The person will only be known as a GTID number at that point in time, and Mage 
will know very little about them at this point. (because it has received no information about them from Peoplesoft 
OHR yet)

3) Once that GTID is requested, and has been assigned, and flowed into the Mage system, then the Wand/Mage admin 
(usually this is the dept CSR, but the TSC can do this also) can go into wand, search by that gtid, and find the 
person record

4) and they can then create a temporary employee acct from there.

5) The Wand admin can then grant whatever services you like in Wand, such as Mygatech. This starts other processes 
going, as usual. However, this person is not known yet as a real employee, so systems that do authorization, may 
not authorize them, if they are using attributes like 'employee@oit'. But they will get a  GT account, and can get 
authenticated to some services. They can be granted email in Mygatech.  ( Recall that staff do not automatically 
get granted Mygatech email, so it is up to the dept csr to add this service to a new account, if that dept uses 
central email, and to set their email aliases in Wand)

6) When the rest of the hiring paperwork gets input into Peoplesoft, the persons records flow into Mage 
automatically (should be a one day delay) and links up to the account by GTID automatically. Name, title, etc will 
be updated in Mage from Peoplesoft data. 
So the person would be in Mage early, have an acct and gtid, and would be identifiable as an employee early (a 
temporary employee)
